Shapewear RFQ Checklist: What to Include in a Wholesale Enquiry

Shapewear RFQ Checklist: What to Include in a Wholesale Enquiry

A practical shapewear RFQ checklist and enquiry outline covering products, quantities, branding, samples, destination and quotation questions.

A shapewear RFQ, or request for quotation, describes what you want to buy and which costs you want the supplier to assess. A clear request separates the garment, the quantity breakdown, any changes and the destination. It also identifies unresolved questions so that the quotation does not rely on hidden assumptions.

You do not need a complete technical specification to ask an initial question. For existing products, start with links or SKUs. For development work, explain what is known and what help you need. Use the checklist below to make your request easier to review and to compare quotations for the same scope.

1. Identify the product and the purchasing route

Share the product link, SKU, reference image or design brief. State whether you want an existing garment, branding on an existing garment, changes to its construction or development of a new design. A reference photo alone may not communicate fabric, measurements or construction requirements.

2. Break down quantities by style, colour and size

A total quantity can hide very different orders. Use a separate line for each style and colour, then list the sizes and quantities. Say whether the request concerns samples, an initial bulk order or a possible reorder. Do not present an estimated future quantity as a confirmed order.

3. Explain the branding or development work

For a logo, include the available artwork, intended position and approximate dimensions. For labels or packaging, state what must be printed and whether you need the supplier to produce the items or apply items you will provide. For garment development, share measurements, reference materials and the changes that matter most.

Keep quantities for garments and separately produced labels or packaging distinct. Ask how unused materials would be handled if relevant to your order. Artwork is needed when requesting artwork-dependent work; it is not a prerequisite for an ordinary product enquiry.

4. Provide a destination when asking for freight

Include the destination country and postal code. Ask what delivery service is being priced and what is included or excluded, including duties or taxes where relevant. An enquiry that only asks for the garment price can state that shipping will be discussed separately.

5. Separate an arrival target from production timing

Give your preferred arrival date and identify any fixed event or launch deadline. Ask the supplier to distinguish preparation or production time, dispatch and transport. For a sample-dependent order, ask which approvals or payments start the schedule. Do not treat a transport estimate as a manufacturing schedule.

6. Define the sample and approval questions

State whether you want a stock sample, a logo mock-up or a development sample. List the details you intend to evaluate, such as measurements, fit, closures and branding placement. Ask how sample charges, delivery costs and requested revisions would be handled. Any sample-cost credit should be confirmed for the particular order rather than assumed.

7. Ask for a quotation with clear inclusions

  • Garment unit price and the quantity breakdown to which it applies.
  • Minimum quantities and their units: order, style, colour, size or packaging item.
  • Separate sample, artwork, branding, label and packaging charges where applicable.
  • Shipping method and charges if freight is requested.
  • Currency, quotation validity, payment stages and any exclusions.
  • Applicable cancellation, defect-reporting and return conditions.

Ask the supplier to mark any item that does not apply, so you can see which costs and conditions are included.

Check that the quotation covers the exact products, size breakdown and work requested. Resolve missing or conflicting details before paying or approving production. Keep the quotation and any approved specification together so that later changes can be traced.
